General Data Protection Regulations (GDPR 2018) classify ExBow Limited as a data controller and require us to tell you how we protect your data. In the process of undertaking our business activity, some of your personal data will be stored and processed. This document is provided to make as transparent as possible how we use it, where we keep it and what we do with it.
ExBow do not hold any personal data with regards to items such Passports, Drivers License, National Insurance, Home Address, Date of Birth. This includes photocopies, numbers or any other hard or soft copy means.
ExBow will on occasion hold personally sensitive information such as psychometric evaluations, personality profiles and other such information used in conjunction with our business activities.
Information Collected & Stored:
During the course of our business, we capture information which could identify you, e.g. your name, phone number and email. This is so we have methods of contacting you. This contact information is stored digitally in ExBow’s secure SharePoint which our stakeholders have full access to. Upon request, any personal data contained within the SharePoint can be permanently erased. Coaching sessions, psychometric evaluations and other documents are stored in the SharePoint however personal contact information such as address details are not collected and stored.
Phone numbers are stored by first name and first letter of the surname on our devices which have a lock-screen and either fingerprint or face recognition security.
Data Retention / Deletion:
General administrative type SMS texts or emails that you send between parties will be deleted every twelve months.
Coaching records and supporting documentation will be kept on the ExBow secure SharePoint for no longer than six months after a programme has concluded before being permanently deleted securely.
Files of a personal nature will be deleted securely prior to the above timescales upon written email request.
Data Sharing:
There are limited situations where your information is shared, such as if we believe you or someone else is at risk of harm or serious concern.
In rare cases ExBow Limited may be obliged by law to share any content this would be if you disclosed matters relating to issues such as terrorism or money laundering.
Access to Information:
You can request access to personal information (Subject Access Request) that we hold on you, except in limited circumstances when we are not permitted to do so for legal reasons. We will provide this information to you within 30 days. If you feel any information, we hold about you is inaccurate, then you are able to ask us to update your information.
